How we collect, use, and protect the information you share when you request an estimate.

Before publication, a qualified attorney has to review the whole page, and every bracketed blank below — legal entity name, effective date, retention periods, the vendors that actually process visitor data, and the privacy laws that apply where the business operates — has to be replaced with real detail. Until then, treat nothing on this page as a commitment the business has made.
About this policy
Texas AC Pro LLC, doing business as Texas AC Pro (“we,” “us,” or “our”), runs this website. This policy explains what information we collect when you browse the site or ask us for an estimate, why we collect it, who else can see it, and what you can ask us to do with it.
It covers this website and the calls, texts, and emails that follow from a request you send through it. It does not cover other companies’ websites we link to — a manufacturer’s equipment warranty registration page, for instance, has its own policy and its own rules.

What we collect
Details you give us
The estimate form asks for the smallest set of details that lets an estimator price the work and call you back:
- Your name.
- Your phone number and email address, so we can reach you about the request.
- The property address, if you choose to give it — it tells the technician the size of the home, the equipment location, and the access situation before anyone drives out.
- The service you selected and your preferred timeline.
- Whatever you type into the project details box.
Anything else you send us afterward — a photo of the model and serial plate, an error code from the thermostat, a previous contractor’s quote — becomes part of the same record. Please do not send government ID numbers, bank account or card numbers, or medical information through the form. We never ask for those to prepare an estimate.
Information collected automatically
Like most websites, this one records basic technical information as you browse: approximate location derived from your IP address (roughly city level, not a street), device and browser type, which pages you viewed and in what order, how long you stayed, what site referred you, and general interaction signals such as scrolling and clicks. We look at this in aggregate to see which service pages actually lead to estimate requests, not to build a profile of you personally.
How we use your information
- Preparing and sending your written estimate.
- Calling, texting, or emailing you back about the project you asked about.
- Scheduling the on-site walkthrough and, later, the work itself.
- Keeping a record of what was quoted, what was agreed, and what was installed — which is what a warranty question two years later gets answered from.
- Ordering materials and coordinating the crews and licensed trades assigned to your job.
- Understanding which pages, ads, and referral sources bring in real requests.
- Keeping the site working and blocking spam and automated submissions.
- Meeting record-keeping, tax, permit, and lien obligations that apply to contracting work.
We do not sell your information, and we do not rent or trade our contact list to other contractors, lead brokers, or advertisers. If we ever start sending marketing emails, they will be something you opt into, with an unsubscribe link in every message.
Who else sees it
We share information with the companies and people who need it to do the work, and with nobody else unless the law requires it:
- Website hosting and the database where form submissions are stored — Vercel (hosting) and, where enabled, Supabase (form storage).
- The email service that delivers your request to our inbox and our reply to yours — Resend.
- Analytics and tag management tools that report site traffic — Google Tag Manager and Google Analytics, where enabled.
- Subcontractors and licensed trades assigned to your project — they get the address, the scope, and a contact number, not your whole file.
- Suppliers, only where a delivery has to be made to your address.
- Equipment manufacturers, when a warranty registration or warranty claim on your system requires it.
- The financing provider, and only if you choose to apply — you deal with them directly.
- Professional advisors, or a government body, where we are legally required to disclose something.
If the business is ever sold or merged, customer records would transfer with it. We would say so here before that took effect.
Cookies and similar technologies
Cookies are small files a site stores in your browser. This site uses them in a few ordinary ways: strictly necessary cookies that make pages load and forms submit safely; analytics cookies that count visits and page views; and, if the business runs paid advertising, advertising cookies that let a platform recognize a return visitor. How long we keep it

Contracting records have a long tail: a workmanship question, a warranty claim, or a dispute over what was in the original scope usually turns on the paperwork from the day the job was quoted, so we keep it. Requests that never turn into a job are deleted after [PLACEHOLDER — retention period] months. Analytics data is retained in aggregate on the schedule set by the analytics provider. You can ask us to delete your details sooner — see below — and we will, except where a law or an active contract requires us to hold on to a specific record.
Keeping information secure
The site is served over an encrypted connection, form submissions are stored in a hosted database rather than an open spreadsheet, and access is limited to the staff who need it to quote and run jobs. No payment card details are collected through this website.

Your choices and rights
You can always ask us to:
- Tell you what information we hold about you.
- Correct anything that is wrong — a misspelled name, an old phone number.
- Delete your information, subject to the record-keeping exceptions above.
- Stop calling, texting, or emailing you about a request.
- Stop sending marketing messages, which you can also do from the unsubscribe link in any of them.
Depending on where you live, state law may give you further rights — including the right to know what categories of information are collected, the right to opt out of certain sharing, and the right not to be treated differently for exercising any of them. Email or call us and say what you want done. Include the name, phone number, and email address you originally used, so we can find the right record — and, before we delete or hand over anything, we may ask a question or two to confirm the request really came from you.

We respond within 45 days, the deadline set by the Texas Data Privacy and Security Act. Where a request is genuinely complex we may extend that once by a further 45 days, and we will tell you why within the first 45.
Changes to this policy
We may update this policy as the business changes the tools it uses or as the law changes. The current version always lives at this address, with the effective date at the top. If a change materially affects how we handle information you have already given us, we will say so plainly rather than quietly swapping the text.
